Minutes of the BSF Tennis Committee meeting held at 7pm on Wednesday 8th March 2017 at St Margaret’s Church Hall.

Present: Messrs. Al-Chalabi, Broughton, Caswell, Maslivec, Nuttall, Pearson (in the chair), Prince, Ms K Abbott, Mrs V Browne, Ms L Cartwright & Ms L Perry

Apologies for absence: Messrs. Smith, Taylor, Mrs S Francis & Ms K Hosker.

Minutes of the last meeting: These had been circulated and were agreed.

Matters Arising: The treasurer has stated that the honoraria was the subject of a sub-committee meeting and not an AGM although it was done around that time. The Chairman would consult as to whether any further revision was necessary.

Correspondence: A telephone call had been received from J*** T***** of T******** re the loan the gist of which had been dictated into the agenda. On discussion it was found to be confusing and further clarification would be sought. It was also asked if they could provide a year of accounts.

David Lloyd Bolton had written to say that they were having the bottom courts resurfaced, meaning that they would be out of action on a Monday and Tuesday night for a week. They would need to find alternatives. Would they be able to use their indoor courts for that week? It was agreed that although the men’s competition is an outdoor competition, the indoor courts could be used for once in these exceptional circumstances.

Calendar: A long discussion took place. It had been a very difficult job in the Mixed League with the decision to have a 10 team Division Four. A number of suggestions were put forward and implemented specifically for the Mixed and Junior Leagues and cup dates. A revised version will be posted.

Treasurer: The treasurer will be unfortunately away for player registration night and payment of fees. The General Secretary said that perhaps he could assist the Registration Secretary.
All the guarantee fees had now been received. It had previously been stated that the guarantee refund would be the same as last year.

Handbook: The club details were posted on line and we were now awaiting any amendments.

Tournament: Following the work done in planning an alternative strategy to the use of Bolton School, it transpired that the School courts may be available for one more year. The Tournament sub-committee had voted to continue with the Tournament being played over three Bolton Club sites with four votes in favour and two abstentions. It was felt that since it is called the Bolton Tournament then it ought to be staged in Bolton itself. It may be possible to stage the juniors on the Bolton School bottom courts and get it played over a couple of days so that parents were not unduly inconvenienced. The advantage of an accepted LTA format called “Fast4 Four Tennis” where rules are slightly modified to speed things up was being explored. There was to be a meeting at 7pm on Wednesday March 15th at Markland Hill TC with representatives of the clubs involved.

Winter League: There are two more weeks of matches and it appears to be running smoothly. A future meeting is to be arranged.

Presentation Evening: The Holiday In has been booked and contracts signed. It was decided to set the ticket price at £10.

Date and time of collection of handbooks and payment of player fees etc: Friday 21st April 7.30pm St Margaret’s Church, Lonsdale Road, Bolton BL1 4PW. The next Committee meeting would be Friday 12th of May 7pm at the same venue.

It was noted that there is a Mixed Division Four match the day before handbook collection.

Footnote: Had a phone call re claification asked for under correspondence:

I have spoken with J*** T***** this morning. The cost has in fact now turned out to be  £40,000 Not the £47,229 as he originally thought. So our 10% contribution to Viridor would be 10% = £4,000. They have also secured a £5,000 loan from the LTA payable back over five years. He will drop off a copy of their accounts with me tomorrow together with the form we have to complete for the contribution. So in effect his request is for £4,000 to Viridor and £1,000 to Tyldesley Tennis Club to help pay towards the fencing of the third court and bring it up to the  standard of the other two. Paying our back over three years would make things very tight as they also have to pay the LTA as well.
