Minutes of the BSF Tennis Committee meeting held at 7pm on Wednesday 8th February 2017 at St Margaret’s Church Hall.

Present: Messrs. Broughton, Caswell, Maslivec, Nuttall, Pearson (in the chair), Prince, Smith, Ms K Abbott, Mrs V Browne, Mrs S Francis.

Minutes of the last meeting and AGM: These had been circulated and were agreed.

Matters Arising: There was nothing pending from the AGM. The missing trophy referred to in the October minutes had been found.

Correspondence: None

League set up: This was carried out. The men’s were straightforward with the same number of divisions. There was still some uncertainty in the David Lloyd Bolton Set-up.
The mixed posed a problem. Five divisions would lead to two with only six teams in them. Four divisions would be full but the bottom one would have 9 teams in requiring a 10 team fixture set up. This was the preferred option but will need some careful planning. Various proposals were discussed and this is an ongoing situation.
The Junior league preference was three divisions, one with six and two with five teams.

Calendar 2017: A draft copy was handed out with all last year’s dates brought forward a day. It was noted that the tournament would be a week later this year. Some other minor alterations were made to the junior fixtures, but the main problem would be how the mixed matches would be accommodated. We would update as we went and hopefully have a more finalised version ready for the next meeting.

Treasurer: At the present time we are awaiting guarantee fees from Ast***, Chor***, Dar***, Da*** Ll*** Bolton, Da*** Ll*** Chorley, Lost***, Tylde**** and Wal***. They would be sent a reminder.

Handbook: The rule changes had been done. The club details would be updated next month. Each Match Secretary would forward on their fixtures for printing.

Tournament: We would not know the Bolton School situation until 9th March. In the meantime, there had been offers for a club based system. It was felt that the Bolton Tournament should be based in Bolton spread between perhaps Markland Hill, Meadow Hill & Lostock. There would be another meeting on 27th February.

Winter League: This had been running fairly smoothly since Christmas. Mrs V Browne had done a good job reorganising and was to be congratulated. It was decided that she should be awarded the Winter League honoraria.
There was to be a meeting with club organisers to set out a system for next year designed to reduce the amount of administrative work involved.
It was decided that the league be renamed the Colin Sharples Winter League in remembrance of its founder.

Presentation Evening: The General Secretary had been to the Holiday Inn and received a quote. The Aston Suite is suitable for around 160 people but could go to around 180 with tables in rows instead of round. We would still be rather crowded. The Cloisters Suite would hold going on for 300. However, we would have to have it a week later on the 15th as it was already booked for a wedding on the 8th.It was decided to defer a decision until we knew how this compared to the Albert Halls. The treasurer would be contacted to inquire of previous fees and the General Secretary would call in to try and find out the current situation at Bolton Town Hall.
Members were asked to bear in mind anyone who would be a suitable presenter of trophies.

AOB: After a vote it was decided to have further meetings at St. Margaret’s rather than Lostock but to revert to Fridays after the March meeting.
It was asked if the honoraria was the subject of an AGM or Committee decision. We would inquire of the treasurer.
